Comparing Website Quotes: 8 Checks for Scope and Ongoing Costs

A simple company brochure site and a multilingual website with product management, inquiry forms and migration work are different projects. Before comparing their prices, compare what each supplier will actually deliver. These eight checks help you identify missing work, recurring charges and handover responsibilities.

Do you need a brochure page or a site you can maintain?

For a basic company presentation, confirm the page count, mobile layouts and who supplies the copy and images. If your team needs to publish products or articles, ask whether the quote includes an admin interface, user permissions and training. A site that goes live is not necessarily a site your team can operate.

Multiple languages require more than a switcher

Confirm which pages and interface elements are covered in each language. Ask about separate language URLs, translated navigation, product information and form messages. Specify who translates and reviews the content. A theme setup for one language does not establish the scope of a complete multilingual project.

Send every supplier the same checklist

Check What to confirm
Pages and design Template count; theme customization or original design; mobile layouts
Languages Languages and pages included; translation and review responsibilities
Content Product count; who supplies copy, images and data
Features Admin access, inquiry forms, email notifications and integrations
Migration Content to move; mapping old URLs to new URLs
Performance and support Image processing, caching, backups and support scope
Recurring costs Domain, hosting, licenses and support billing terms
Ownership and handover Domain, hosting, code, design assets and admin accounts

Compare one-time costs with ongoing commitments

Design, development, content preparation and migration are usually part of the initial delivery. Domain registration, hosting, software licenses and support may have recurring charges. Additional languages, new features and extra content may be quoted separately. Confirm how each item is billed in the written proposal.

List the initial fee and recurring costs separately over your planned period of use. If an amount or scope is missing, ask for clarification before treating one quote as cheaper. This checklist does not establish a market price or a fixed SHMLANG package.

One-time website costs, recurring costs and additional work grouped separately
Confirm the scope and billing terms in the written quote.

Turn the checklist into a brief

Prepare your target markets and languages, page types, product count and required integrations. For an existing website, add the migration scope. Ask each supplier to answer the checklist item by item, with a clear deliverable and responsible party. This gives you a useful basis for comparison.
